What is ERP?
ERP is an acronym for "Enterprise Resource Planning". An ERP attempts to integrate all departments and functions across a company onto a single computer system that can serve all those different department's particular needs.
E: Enterprise is a huge business Organisation.
R: Resources are Money, Material, Man power, Machinery, and Methods
P: Planning for optimal Utilization of resource for a huge business Organisation
Why ERP?
ERP is used for planning resources [Money, Material, Man power, Machinery and Methods] to get maximum profits with minimum Efforts. For this, all the business functions and processes need to be atomised and integrated. The common business functions of any large enterprise are
FICO -Financial Accounting & Controlling, HR -Human resources,
PP-Production planning, MM -Material Management, SD -Sales and distribution
PM -Plant Maintenance, QM -Quality Management, etc depending on the enterprise.
About SAP
Founded in 1972, SAP is the recognised leader in providing collaborative business solutions for all types of industries and for every major market. Headquartered in Willdorf, Germany, SAP is the world's largest inter-enterprise software company, and the world's third largest independent software supplier overall. SAP employs over 28,900 people in more than 50 countries SAP professionals are dedicated to providing high-level customer support and services.
Due to the complexity of implementation, companies recruit highly skilled SAP Functional and technical consultants to do the job. The implementation must consider the company's needs and resources. Some companies implement only a few modules of SAP while others may want numerous modules.
SAP has several layers. The Basis System (BC) includes the ABAP programming language, and is the heart of operations. Other customizing and implementation tools exist also. The heart of the system is the application modules. These modules are listed below:
FI / CO Financial Management / Controlling:
Designed for automated management and external reporting of general ledger, accounts receivable, accounts payable and other sub-ledger accounts with a user defined chart of accounts. As entries are made relating to sales production and payments journal entries are automatically posted. This connection means that the "books" are designed to reflect the real situation.
Controlling represents the company's flow of cost and revenue. It is a management instrument for organizational decisions. It too is automatically updated as events occur.
HR Human Resources
Is a complete integrated system for supporting the planning and control of personnel activities and HR module is sometimes equivalently referred as HCM (Human Capital Management).
PM Plant Maintenance:
In a complex manufacturing process maintenance means more than sweeping the floors. Equipment must be serviced and rebuilt. These tasks affect the production plans.
MM Materials Management:
Supports the procurement and inventory functions occurring in day-to-day business operations such as purchasing, inventory management, reorder point processing, etc.
PP Production Planning:
Is used to plan and control the manufacturing activities of a company. This module includes; bills of material, routings, work centres, sales and operations planning, master production scheduling, material requirements planning, shop floor control, production orders, product costing, etc.
SD Sales and Distribution:
Helps to optimize all the tasks and activities carried out in sales, delivery and billing. Key elements are: pre-sales support, inquiry processing, quotation processing, sales order processing, and delivery processing, billing and sales information system.
Reportedly, there are over 100,800 SAP installations at more than 28,000 companies. SAP products are used by over 12 million people in more than 120 countries.
Implementation of SAP in an Enterprise
SAP is table drive customization software. It allows businesses to make rapid changes in their business requirements with a common set of programs. User-exits are provided for business to add in additional source code. Tools such as screen variants are provided to let you set fields attributes whether to hide, display and make them mandatory fields.
This is what makes ERP system and SAP in particular so flexible. The table driven customization are driving the program functionality instead of those old fashioned hard-coded programs. Therefore, new and changed business requirements can be quickly implemented and tested in the system.
Role of Functional and Technical Consultants (Configuration vs. Customization)
When considering enterprise software of any type, it is important to understand the difference between configuration and customization. The crux of the difference is complexity.
SAP Functional Consultant
A Functional consultant studies current business processes and its complications, in all getting through with current business setup and transfer this processes into SAP system.(configuration)
Configuration uses the inherent flexibility of the enterprise software to add fields, change field names, modify drop-down lists, or add buttons. Configurations are made using powerful built-in tool sets.
SAP implementation project consist of a team of functional consultants specialised in different functional areas, such as finance [FICO], HR, Production [PP], Materials [MM], Sales & Distribution [SD] etc.
SAP Technical Consultant
Is involved in customizing the modules which implies code changes or writing new codes to create functionality that is not available through configuration. This is done using ABAP [Advanced Business Application Program].
